Office Coordinator
We’re looking for an energetic Office Coordinator who loves creating order, smooth operations, and a welcoming atmosphere. If you take pride in having everything ready before the team walks in - from switching on the coffee maching to the kitchen stocked just right - this role is for you.
You’ll be the heart of the office, making sure everything runs efficiently and feels great for everyone. This is a part-time role (approx. 20 hours/week), ideally in the morning hours, so the office is set and ready by the time the team arrives.
You’ll report directly to the Head of HR, with full support, tools, and freedom to make a real difference.
Key Responsibilities
- Keep the office running smoothly — overseeing equipment, supplies, and kitchen essentials.
- Maintain a neat, organized, and welcoming office environment throughout the day and after events.
- Order and manage office supplies, IT equipment, and other essentials — the right items, in the right amounts, at the right time.
- Coordinate with vendors, suppliers, and maintenance contractors to ensure everything works as it should.
- Support facility management and handle daily operational needs.
- Manage utilities, keys, access cards, and office infrastructure.
- Help organize internal events, from setup to catering and logistics.
- Handle mail, deliveries, and errands as needed.
- Welcome visitors and make sure their first impression of the office is a great one.
This is a hands-on role — ideal for someone who enjoys creating structure, taking initiative, and seeing their efforts make a visible impact every day.
What we’re looking for
- Experience in a similar role (office coordination, administration, or facility support).
- A get-things-done, proactive mindset — you see what needs doing and make it happen.
- Strong organizational and prioritization skills.
- A structured, reliable, and adaptable personality.
- Confidence to make decisions and manage multiple tasks.
- Comfortable with MS Office and general digital tools.
- Fluent written and spoken Hungarian and English.
